Pay Range: $25.00-$28.00 per hour, Depends on Experience (DOE)

The IHSD Admin Assistant/Program Support Specialist is part of La Maestra Integrated Health Social Determinants Department made up of CALAIM Enhanced Care Management and Community Supports ECM/CS, Asthma Health Management AHM and Chronic Care Management CCM. IHSD Admin Assistant will support La Maestra’s leadership team and staff in the development implementation, and maintenance of the LM IHSD programs.  The IHSD Admin Assistant/Program Support Specialist will provide administrative and data support to facilitate orderly operations Interfaces with all levels of IHSD programs, LMFC Clinics and staff, clients, community partners, health plans, and vendors.

IHSD Essential Responsibilities (Principals)

  • Provide organizational and administrative support for IHSD activities to help achieve desired programs goals.
  • Provide administrative and data support to facilitate orderly operations of IHSD programs
  • Organizes and maintains all site administrative files/binders ensuring easy access to the IHSD Director.
  • Compliance to IHSD documentation and reporting requirements in line with DHCS and Medi-Cal Health Plans guidelines
  • Interfaces with all levels of IHSD programs and corporate staff, clients, community partners, health plans, and vendors.
  • Supports leadership in monitoring and tracking multiple health plans deadlines and requirements.
  • Maintain program resources support axis to teams
  • Compile records and prepare reports; Complete all administrative assignments including timely data entry in multiple databases.
  • Support multiple departmental goals and productivity goals.
  • Responding to urgency of the program request, appropriate documentation, case routing and tracking, routing of information, performing computer data input, faxing, filing of confidential member information, and maintaining logs of activity, etc.
  • Completes trainings on IHSD overall process which includes database portal trainings to meet with key performance metrics and dashboards to ensure programs compliance
  • Completes trainings on IHSD overall program process and referral process which includes provider portal trainings to meet with key performance metrics and dashboards to ensure program compliance.

Additional Duties and Responsibilities:

  1. Participate regularly in program meetings, including internal staff meetings, and external work group meetings, 1:1’s, etc.
  2. Perform other duties as assigned.

Job Requirements

Bachelor’s Degree or equivalent experience, training, or coursework in Human Services, public health, Community, social welfare or related field;

Minimum one year of progressively responsible and direct work experience working with the essential duties and responsibilities described above.

Excellent written and verbal communication skills; word processing, spreadsheets, and bookkeeping.

Diplomatic approach to problem solving, time management and ability to take initiative in project completion.

Ability to work independently and show mature judgment.

Demonstrated experience leading/managing projects, initiatives, and/or leading or directing the work of others.

Knowledgeable in the field of home and community-based services and community resource networks and a particular interest in working to address health disparities and addressing the needs of low-income communities.

Familiarity of SDOH that impact San Diego County and community members.

Ability to think creatively and work strategically, to help develop and implement innovative solutions yielding measurable results to the organization.

Ability to think creatively and gather and analyze data, organize and write reports, organize work efficiently.

Ability to understand, interpret, and apply applicable rules and regulations, and establish and evaluate priorities.

Advanced working knowledge and proficient with Microsoft Suite applications, and the ability to operate all applicable software

Experience: At least two (2) years working in administrative or front desk position and in a non-profit setting. Demonstrate proficiency with computers and software including Microsoft Office Suite and electronic health records systems.

Verbal and Written Skills to perform the job: Bilingual (English/Spanish) or (English/Arabic) with demonstrated language proficiency, oral and written (preferred).

Technical knowledge and skills required to perform the job: Excellent verbal, written and interpersonal communication skills and the demonstrated ability to work with diverse individuals and groups. Demonstrate high levels of self-initiation and direction. Knowledge of communities we serve. Skill in analyzing situations and making timely decisions. Proficiency in Microsoft excel.
